This policy explains what the CTE Intelligence Platform (“the CRM”), the private business system of Cross Texas Electric LLC, keeps, what it shares with Google and other services, and for how long. It covers the people who use the CRM and the customers whose work it records.
What the CRM keeps
About the people who use it
- Your name, email address and role, and the organization you work in.
- Sign-in and security records, such as when you signed in and failed sign-in attempts, which are used to protect your account.
- A record of the changes you make, with the time you made them, and your time on jobs when you use the timer.
About customers and their work
- Names, phone numbers, email addresses and mailing addresses.
- The addresses of properties, and what is known about each one’s electrical service.
- Jobs and their schedule, estimates, invoices and payments, and the photos, documents, receipts and voice recordings added to a job.
- When a customer accepts an estimate online: the version and option chosen, the name typed, the time, the internet address (IP address) it was sent from, and a fingerprint of the exact document accepted.
Cross Texas Electric uses this information only to run its business: to schedule, price, carry out and bill the work, and to keep its records. We do not sell it, and we do not use it for advertising.
What goes to Google
The CRM uses Google Maps Platform for address suggestions and for the weather on scheduled jobs. For these, only addresses and locations are sent: never a customer’s name, phone number, email address or any price.
- Address suggestions. While someone types an address into a property form, what has been typed so far is sent to Google to fetch matching addresses. Choosing one asks Google for that address’s parts, to fill in the form.
- Weather. For jobs scheduled today and tomorrow, the CRM sends each job’s stored property address to Google to find its location, rounds that location to about a kilometer, and then asks Google for the weather and any public weather alerts there.
- Weather icons. Google’s weather pictures load in your browser straight from Google (maps.gstatic.com). As with any picture loaded from another site, this shares your device’s internet address (IP address) and browser details with Google.
If an owner connects the business’s Google Calendar, scheduled jobs are also copied to a calendar kept for jobs, with the customer’s name and phone number, the job type and number, the property’s address and the job’s time.
Google’s use of what it receives is governed by the Google Privacy Policy.
How long anything from Google is kept
- Locations: less than 30 days. Each rounded location is deleted before it is 30 days old, and is not used again once its property’s address changes.
- Weather and alerts: less than one hour. A reading is used for at most 50 minutes and deleted within 55 minutes of being fetched. A page left open removes it from the screen by then too.
- Nothing else. Address suggestions are not stored. When a suggestion is picked, the only thing kept is the address the person checks and saves as the property’s address; no Google place reference and no map location is kept with it.
Other services the CRM relies on
The CRM runs on hosting and database services that store its records for Cross Texas Electric. A security check protects the sign-in page and the estimate page from automated abuse, and error reports help us find and fix problems. If an owner switches on the CRM’s AI assistant, the material it is asked to work on is sent to the AI provider to prepare a draft for a person to review. Each service receives only what its part of the work needs.
How long the CRM keeps its own records
Cross Texas Electric keeps its records for as long as it needs them to do and stand behind the work, including its warranty, and to meet its legal, tax and accounting obligations.
Keeping it safe
Access is by invitation only, each person sees only what their role allows, owners sign in with two-step verification, and information travels over encrypted connections.
